How it works
Start with your needs, build the right scope
Share the requirement
Site, operating hours, service priorities and timing. Say what is going wrong if that is easier.
Agree the responsibilities
One service or a combined scope: duties, staffing, materials, your responsibilities and what the quote includes.
Prepare and review
Start arrangements, site instructions and reporting contacts, then a routine for reviewing the work.
Common questions
Know what to expect
Which service should we start with?
Start with the problem rather than the service name. Entrances, visitors and site access point to Security. A role you need filled on a shift points to Manpower. Cleaning, grounds, building systems and waste point to Facility Management. A question about how things are organised points to Consulting.
If more than one applies, say so in the enquiry. The proposal should then state where the responsibilities meet and who owns each task.
Can we combine several services in one agreement?
Yes. A combined scope is written as one plan with the tasks and responsibilities listed per service, so nothing falls between two teams. Ask for the boundaries to be written down explicitly — that is the part that causes trouble later if it is left vague.
What should we share to get a useful proposal?
Four things get you a usable proposal quickly: where the site is, what kind of premises it is, the hours it operates, and the tasks or roles you want covered. Add the areas, headcount or routes if you already know them.
If you are not sure what you need, describe what is going wrong instead. That is usually enough to start.
How will we know what is included?
The proposal should state the duties, the schedule, the staffing and supervision, who supplies equipment or materials, and what is excluded. Read the exclusions first: a scope is only as clear as the work it says it does not cover.
